Welcome to POS Pakistan
POS Pakistan is a multi-branch point-of-sale and business-management platform for retail shops, electronics & mobile stores, grocery stores, service businesses and small producers. This guide explains every part of the system in plain language.
How this guide is organised
Each topic has two parts:
- Quick steps — the few actions to get going.
- In depth — a fuller explanation of every option and how it affects your reports and accounts.
Key concepts
A few ideas appear throughout the product. It helps to know them first.
- Franchise — your business account. All your data (products, sales, accounts) lives under your franchise.
- Branch — a physical location/store. Most data is tied to a branch. Use the branch selector at the top to view one branch or All Branches together.
- Roles & permissions — the Franchise Admin can do everything and configure the business; other staff (e.g. cashiers) see only what their role allows.
- Double-entry accounting — every money event (sale, purchase, return, expense, adjustment) automatically creates balanced ledger entries, so your P&L, Trial Balance and Balance Sheet are always correct without manual bookkeeping.
Getting started
Sign in, choose a branch, and start selling — here is the short path, followed by the detail.
- Open the app and sign in with your email and password.
- First time? A brand-new business is taken straight to the Branches page to create your first branch. Every later login lands on the Dashboard.
- Use the branch selector at the top to choose a branch, or All Branches to see everything combined.
- Open POS Terminal to start selling, or explore the modules in the left sidebar.
Signing in
- Each user has their own login. Your role decides what you can see and do.
- If you forget your password, use Forgot password on the login screen (an OTP is emailed to you).
Franchise, branches and the branch selector
- Your franchise is your whole business account.
- A branch is a store/location. With more than one branch, the branch selector lets you pick a single branch (you then see only that branch's sales, stock, customers and reports) or All Branches (totals across every branch combined).
- Historical data created before you added a second branch stays attached to your original (default) branch, so it always shows up under that branch and under All Branches.
The main layout
- Left sidebar — your modules, organised into collapsible groups. The group of the page you're on opens automatically.
- Top bar — branch selector and quick actions.
- Main area — the module you've opened.
Who can do what (roles)
- Franchise Admin — full access: configure modules, accounting, users, branches and the sidebar layout.
- Other staff (e.g. Cashier) — limited to the modules and fields their role permits. Sensitive figures (cost price, profit, customer balances) can be hidden per role.
Dashboard & widgets
Your dashboard is personal — each user builds their own set of widgets from the reports available in the system. Charts are interactive and show details on hover.
- Open Dashboard.
- Click Add widget.
- Pick a widget type, set the title, visualisation and period, then Add widget.
- Remove a widget any time with Remove on its card.
Widget types
Widgets are powered by existing reports, so the numbers always match your other screens:
- Revenue — net sales for the period.
- Number of Sales — order count.
- Sales Trend — revenue over time (line/bar).
- Top Selling Items — best sellers (bar/donut/table).
- Profit — gross profit for the period.
- Outstanding Receivables — money customers owe you.
- Supplier Payables — money you owe suppliers.
- Inventory Value — current stock value.
- Low Stock — items at or below their threshold.
- Active Repairs — open repair jobs (if Repairs is enabled).
- Total Products — catalog size.
- Recent Sales — latest transactions.
- Single Item Sales — track one specific product: pick the item, choose Quantity sold or Revenue, and a period.
Choosing how a widget looks
- Visualisation — stat, line, bar, donut, or table (options depend on the type).
- Width — Normal (one column) or Wide (two columns).
- Period — Today, Yesterday, Last 7/30 days, This/Last month, This year.
Interactive charts & privacy
- Hover over a line/bar/donut to see the exact label and value.
- Charts respect the branch selector — switch branches to re-scope every widget at once.
- Widgets you're not allowed to see (e.g. revenue/profit when your role hides them) won't appear in the catalog and won't render.
Point of Sale (POS)
The POS Terminal is where you ring up sales.
- Open POS Terminal (you may need an open shift first).
- Search for an item and press Enter to add the first match, or tap a product card.
- Adjust quantity; press Enter to jump back to the search box for the next item.
- Click Checkout, enter the amount received, add customer details if needed, and Complete Sale.
Shifts
If the Shifts module is on, you must open a shift (register) before selling. Cash is reconciled when you close the shift; any difference is recorded as Cash Over/Short.
Adding items quickly (keyboard flow)
- Type in the search box and press Enter to add the top result.
- After adding, type the quantity and press Enter — focus returns to the search box so you can keep adding items without touching the mouse.
- A barcode scanner field is available if the barcode module is enabled.
- Use Quick add / service lines for one-off items or services that aren't in the catalog.
Discounts and tax
Apply a per-line discount (amount or %), or a whole-bill discount. Tax is applied based on each product's tax settings.
Checkout & payments
- Amount received drives the result: leave it blank to take the full amount (paid in full); or type an explicit amount — including 0 — to record a partial/credit sale.
- If the amount is less than the total, the remaining balance is due and you must attach customer details plus a reminder date to collect later.
- Payment method: Cash or Bank Transfer (with reference). Customer store credit can also be applied at checkout.
- Change or Balance Due is shown live as you type.
What happens in the books
Each sale automatically posts: Cash/Bank (or Accounts Receivable for the unpaid portion) increases, Sales Revenue increases, Cost of Goods Sold increases and Inventory decreases by the items' cost. So revenue, profit and stock value stay correct with no manual bookkeeping.
Inventory & stock adjustments
Manage your products and stock. Stock can only change through tracked paths so your inventory value and accounts always stay correct.
- Open Inventory.
- Add Product to create an item (name, category, price, cost, opening stock, location, etc.).
- Switch between list (table) and grid (cards) views; use Columns / Card fields to choose what's shown.
- To change stock, use Adjust on a product (the stock field on the edit form is read-only on purpose).
Why the stock field is locked on edit
Editing the stock number freely used to silently post losses to your accounts and break your Profit & Loss. Now stock changes only happen through tracked events: a POS sale, a purchase, a production order, or the Inventory Adjustment module.
Inventory Adjustment
Click Adjust on a product, enter the new stock, pick a reason, and save. The reason decides how it's recorded in your accounts:

| Damaged, Expired—discarded, Theft, Shrinkage, Count shortage, Other (loss) | Recorded as a real loss in the Inventory Adjustment expense account (shows in P&L). |
The adjust dialog shows a plain-English note of the effect before you confirm.
List vs grid, and other features
- List view is a table; click Columns to show/hide columns. Grid view shows cards; click Card fields to choose details per card.
- Low-stock threshold per product feeds the Low Stock widget and restock list.
- Expiry dates (grocery) show expiring/expired badges.
- Product type (Standard / Raw / Finished) supports production workflows.
- Import/Export via CSV/Excel; print a restock list.
- Deleting a product archives it if it has history (so reports stay intact); archived items are excluded from "items sold" reporting.
Sales history & returns
Review every sale, edit a mistake, and process returns with or without the original bill.
- Open Sales History to see every sale. Tap a row to expand its line items.
- Use Card fields to choose what shows on each sale row.
- To return items from a sale, expand it and choose Return.
- To process a return without the original bill, use Return without bill (Franchise Admin only).
Viewing & editing sales
- Each sale shows the customer, date/invoice, total and status (Paid, Partial, Returned, Partial Return). Expand a sale to see line items, payments and to print the invoice.
- A Franchise Admin can re-open and edit a completed sale to fix a mistake, if the "Allow sale editing" setting is on. Editing adjusts stock and cost of goods sold accordingly. Returned sales can't be edited.
Returns (with the original bill)
- Expand the sale and start a return.
- Select the items and quantities being returned and the settlement (cash, bank, or store credit).
- Confirm.
Returned items go back into stock; Sales Returns (contra-revenue) is recorded, reducing net revenue; Cost of Goods Sold is reversed and Inventory restored. The returned quantity is removed from the Sales by Item report.
Returns without a bill
Only a Franchise Admin can do this.
- Click Return without bill.
- Choose the branch the goods were sold from.
- Search and add the item(s), set quantity and refund price.
- Choose Cash or Bank transfer and confirm.
This restocks the items and posts the same correct accounting as a normal return.
Customers
Track customers, what they owe, and money they pay or prepay.
- Open Customers to see everyone, with purchases, paid and pending balances.
- Use Card fields to choose which details appear on each customer card.
- Add Customer to create a record.
- Use Record Payment, Advance and the credit/loan tools as needed.
Recording money
There are three distinct money tools:
- Record Payment — the customer pays down an existing balance (a credit sale or recorded loan). Reduces what they owe.
- Credit / Loan — record that a customer owes you money (e.g. goods given on credit outside a normal sale).
- Advance — the customer pays money in advance with no current debt. Stored as store credit and applied at checkout on a future sale.
What happens in the books
- An advance posts: Cash/Bank in, Customer Credit (liability) up — because you now owe them goods/credit.
- Applying store credit at checkout reduces that liability.
- Customer statements show the full history of purchases, payments, credits and advances.
Suppliers & purchases
Record what you buy, from whom, and what you still owe.
- Open Purchases to record stock you've bought; toggle to Suppliers for the vendor directory and reports.
- When recording a purchase, enter how much you paid — the rest becomes a payable.
- Use the Columns button to choose which purchase columns to show.
Recording a purchase
- Add the supplier, reference, and line items (product, quantity, cost). Stock increases automatically and inventory value goes up.
- Enter the amount paid: paid in full → Paid; part-paid → Partial (remainder tracked as a payable); nothing paid → Unpaid.
In the books: Inventory increases by the purchase value, Cash/Bank decreases by what you paid, and Accounts Payable increases by the unpaid remainder.
Suppliers directory & reports
- Each supplier shows totals: purchases, paid, payable (you owe) and receivable (your credit), plus last purchase date. Add an opening balance if you already owed them when you started.
- Supplier-wise purchases over a date range; Payable & Receivable summary.
- Item ↔ Supplier Lookup: Find suppliers of an item (who you bought it from and how much) or Find items from a supplier. The selected date range applies.
- Add the Supplier Payables widget to your dashboard to keep total money-owed in view.
Accounting
Everything you do (sales, purchases, returns, expenses, adjustments) posts automatically to a proper double-entry ledger. The Accounting module lets you see and manage it.
- Open Accounting. Tabs: Chart of Accounts, Journal Entries, Expenses, P&L, Trial Balance, General Ledger, Balance Sheet, Sales by Item.
- Set opening balances when you first start (Accounts tab → Set Opening Balance).
- Record one-off costs under Expenses; set up Recurring Expenses for rent/bills.
Chart of Accounts & opening balances
- A ready-made set of accounts (Cash, Bank, Inventory, Accounts Payable, Sales Revenue, COGS, etc.), each with a plain-English description. You can Add Account for anything specific to your business.
- To record where you stand mid-business: Accounts tab → Set Opening Balance, pick the account, enter the amount and date. The offset is booked to Owner's Equity automatically. One opening balance per account.
Expenses & recurring expenses
- Record Expense — pick the expense account, amount, date and how it was paid. It posts Expense up / Cash (or Bank) down.
- Recurring Expenses — set costs that repeat (rent, utilities, charity…): expense account, amount, frequency (daily/weekly/monthly/yearly), next run date and payment method. The system posts them automatically each period and they appear in your P&L. Pause or delete any time.
Reports & manual entries
- P&L — revenue (net of returns) − cost of goods sold = gross profit; − other expenses = net profit. Choose daily/weekly/monthly.
- Trial Balance — all debits and credits for a period; totals must match.
- General Ledger — every line for a chosen account.
- Balance Sheet — assets, liabilities and equity.
- Sales by Item — units and revenue per product (net of returns); archived/deleted items excluded.
- Manual journal entries — for special cases. The account dropdown shows code – name – type. Debits must equal credits.
Investors
Track people who've invested in your business: their capital, profit share (ROI) and payouts — with everything flowing into your accounts.
- Open Investors (Franchise Admin).
- Add Investor (name, contact, and a return type — manual or a fixed annual %).
- Use the money button on a row to record an Investment, a Profit share, or a Payout.
- View a Statement per investor; the list shows each investor's ROI and what's owed.
Investor types
- Manual profit — you decide and enter each profit amount yourself.
- Auto % per year — set an annual return %. When recording a profit share, hit Auto % to have the system suggest the amount based on invested capital and time elapsed.
The three transactions

The list shows Invested, Profit accrued, Paid out, Profit owed and ROI %. Open a Statement for one investor's full history.
Editable views (columns & cards)
Most lists and reports let you decide which fields to see. Your choices are saved to your own account and follow you on any device.
- On a table/report screen, click Columns and tick/untick fields to show or hide.
- On a card screen, click Card fields and choose which details appear on each card.
- Use All to show everything, or Reset to go back to defaults.
Where it works
- Inventory — table (Columns) and grid cards (Card fields).
- Suppliers — directory table (Contact, Purchases, Paid, Payable, Receivable…).
- Purchases — table (Date, Supplier, Reference, Items, Total, Paid, Remaining, By).
- Customers — cards (Email, Purchases, Paid, Pending).
- Sales History — cards (Date/time, Invoice #, Amount, Status).
How it behaves
- Some essential fields (item/customer name, Actions buttons) are always shown.
- New fields added in future updates appear by default — your hidden list is remembered, so nothing you hid reappears.
- These are personal preferences — they don't change what colleagues see.
Administration
Tools for running the business, mostly in the Settings group of the sidebar.
Users & roles
- Users — create staff logins, assign a role and branch.
- Roles — define what each role can see and do, including hiding sensitive figures per role: Hide revenue, Hide profit/cost, Hide customer balances, Hide supplier info, etc.
- Only the Franchise Admin has full access.
Branches, audit log & settings
- Branches — create and manage store locations. The first branch becomes the default branch that holds historical data.
- Audit Log — a record of important actions (who created/updated/deleted what, payments, returns) for accountability. Key records also store created by / updated by stamps.
- Settings — business name/branding, currency, modules, and preferences (e.g. Allow sale editing, Show cost price in sales).
Super Admin only
- Franchises — manage all businesses on the platform.
- Subscriptions & Finance — plans and billing.
- Error Logs — a central log of every error across all franchises (server + client), with filters, search and a detail view; mark resolved or clear old ones.
Modules
Depending on your plan, optional modules can be enabled per franchise: Repairs, Production (refinery/manufacturing), Shifts, Purchases, Accounting, Reports, Barcode scanning, and more. Disabled modules simply don't appear in the sidebar.
